Terms of Service

1. Acceptance of Terms

Welcome to InvoSafi, operated by Invosafi Solutions ("we", "us", "our", or "the Service"). By accessing or using the Service, you agree to be bound by these Terms of Service. If you do not agree with any part of these terms, you must not use the Service.

2. Service Description

InvoSafi is a document generation platform that allows users to create professional invoices, receipts, cash sales, quotations, purchase orders, and delivery notes. The Service allows users to create documents without an account (as guests) or to sign up for a registered account to manage their documents over time.

3. Account Registration and Guest Mode

Guest Access: You may use the Service to generate documents without creating an account. Please note that guest session data is temporary and may be permanently deleted after 90 days of inactivity.

Registered Accounts: Signing up for a persistent account allows you to save and manage your documents long-term. You agree to provide accurate information during registration and are responsible for maintaining the security of your account credentials.

4. Pricing

Free Features: Creating, editing, and previewing documents on the platform is completely free.

Pay As You Go: Downloading a clean, final PDF document (without the InvoSafi watermark) requires a one-time payment of KSh 10 per document.

Subscription Plans: Users may purchase a subscription plan for discounted document downloads. The available plans are:

  • Basic — KSh 500 for 100 documents (valid for 1 year or until quota is exhausted, whichever comes first)
  • Growth — KSh 1,500 for 300 documents (valid for 1 year or until quota is exhausted, whichever comes first)
  • Scale — KSh 3,000 for 700 documents (valid for 1 year or until quota is exhausted, whichever comes first)

Unused document quota does not roll over after the subscription period expires. Once a subscription is exhausted or expired, you revert to Pay As You Go pricing. Invosafi Solutions reserves the right to modify pricing at any time, with changes taking effect for new purchases only.

Billing Responsibility: All fees are charged strictly to the document creator. The recipient of your document will never be charged by InvoSafi to view or receive the document.

5. Payments and Refunds

Payment Processor: All payments are processed securely via Safaricom M-Pesa. By completing a payment on InvoSafi, you also agree to be bound by Safaricom's terms of service.

Per-Document Payments: Because the digital product is delivered instantly, per-document payments are strictly non-refundable once a clean PDF has been successfully generated and downloaded. See our Refund Policy for eligible exceptions.

Subscription Payments: Subscription plan payments are non-refundable once the M-Pesa payment is confirmed and the subscription is activated. See our Refund Policy for eligible exceptions.

Attempting to circumvent payment requirements is strictly prohibited.

6. User Content and Data Ownership

You retain full ownership of all content you enter into your documents, including business names, financial amounts, client details, logos, and images. By using the Service, you grant InvoSafi a limited, non-exclusive license to store, process, and display this content solely for the purpose of generating and delivering your documents.

7. Prohibited Use

To ensure a safe and reliable platform, you agree not to use the Service for any of the following activities:

  • Creating fraudulent, misleading, or illegal documents (including tax evasion)
  • Accessing the platform via automated scripts, scrapers, or bots without our prior written consent
  • Attempting to bypass, hack, or circumvent payment requirements
  • Uploading illegal, offensive, or harmful content
  • Interfering with, disrupting, or attempting to gain unauthorized access to the Service's infrastructure or servers
  • Misrepresenting documents generated through InvoSafi as official government or regulatory documents

8. Account Termination and Suspension

We reserve the right to suspend or terminate your account or block your access to the Service immediately, without prior notice, if you violate any of these Terms of Service. Upon termination, any remaining subscription quota is forfeited and non-refundable.

9. Tax and Legal Disclaimer

InvoSafi is a document generation tool only. Invosafi Solutions is not an accounting firm, tax advisory service, or legal practice. The documents generated through the Service are templates and tools created based on information you provide. They do not constitute official tax invoices, legal instruments, or regulatory filings unless you, as the user, are independently registered and authorised to issue such documents under applicable law (including but not limited to the Kenya Revenue Authority).

You are solely responsible for ensuring that any document you create complies with all applicable tax, accounting, and legal requirements. Invosafi Solutions bears no responsibility for any fines, penalties, tax assessments, or legal disputes arising from your use of documents generated through the Service.

10. Limitation of Liability

The Service is provided on an "as is" and "as available" basis without warranties of any kind, whether express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

In no event shall Invosafi Solutions be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, business opportunities, or goodwill, arising out of or in connection with your use of the Service.

In no event shall Invosafi Solutions' total maximum liability to you for any claims arising out of your use of the Service exceed the total amount paid by you to Invosafi Solutions in the preceding 12 months.

11. Indemnification

You agree to indemnify, defend, and hold harmless Invosafi Solutions, its officers, directors, employees, and agents from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or in connection with:

  • Your use or misuse of the Service
  • Your violation of these Terms of Service
  • Your creation of fraudulent, inaccurate, or illegal documents
  • Any content you enter into the Service
  • Your violation of any applicable law or regulation
  • Any claim by a third party arising from documents you created using the Service

12. Force Majeure

Invosafi Solutions shall not be liable for any failure or delay in performing its obligations under these Terms where such failure or delay results from circumstances beyond our reasonable control, including but not limited to: Safaricom M-Pesa service outages, internet or telecommunications failures, power outages, server or hosting provider failures, natural disasters, acts of government, pandemics, or civil unrest. We will use commercially reasonable efforts to restore the Service as soon as practicable.

13. Governing Law and Dispute Resolution

These Terms of Service shall be governed by and construed in accordance with the laws of the Republic of Kenya.

Mediation: In the event of any dispute arising out of or relating to these terms or your use of the Service, the parties shall first attempt to resolve the dispute through good-faith mediation within 30 days of written notice of the dispute.

Litigation: If mediation fails to resolve the dispute within 30 days, either party may pursue resolution exclusively in the courts located in Nairobi, Kenya.

14. Changes to Terms

We may update these terms from time to time to reflect changes to our Service or for legal reasons. We will post the updated terms on this page. Your continued use of the Service after any changes constitutes your acceptance of the new Terms of Service.
